Please read these Terms and Conditions carefully. By booking a session, enrolling in a program, or purchasing any product from Maths by James, you agree to be bound by these terms.

1. Universal Cancellation & Rescheduling Policy

To maintain a fair schedule for all students and ensure tutor availability, a strict 24-hour notice policy applies to all products and services offered by Maths by James, including 1-to-1 tutoring, group sessions, workshops, and intensive programs.

Notice Period: Any request to cancel or reschedule must be made at least 24 hours before the scheduled start time.

Late Cancellations: Notice provided less than 24 hours before the start time will result in the full fee being charged. No refunds or credits will be issued.

Punctuality and the "15-Minute Rule"

Start Time: Sessions begin promptly at the agreed-upon time.

Waiting Period: The tutor will remain in the online learning space for 15 minutes from the scheduled start time.

Late Arrival: If a student has not joined the session within 15 minutes of the start time, the tutor will leave the space and the session will be considered a "No-Show," unless the student has contacted the tutor via WhatsApp or email to provide an update.

Financial Implications: In the event of a late arrival or a 15-minute no-show, the full fee for the session remains payable. No additional time will be added to the end of the session to compensate for the student's lateness.

Tutor Lateness: In the rare event a tutor is late, they will make every effort to add the missed time to the end of the session or offer a pro-rata refund.

Non-Attendance: If a student does not attend a scheduled session (no-show), the full fee is forfeited.

2. Payment and Booking

All tutoring sessions and programs must be booked and paid for upfront. Access to sessions is not confirmed until full payment is received. For intensive programs, "Super Early Bird" or loyalty pricing is strictly for active customers; unauthorized use of discount links may result in the immediate cancellation of the booking.

3. Punctuality and Lateness

Start Time: Sessions begin promptly at the agreed-upon time.

Student Lateness: The session will end at the scheduled time regardless of when the student joins. No additional time will be added to compensate for lateness, and the full fee applies.

Tutor Lateness: In the rare event a tutor is late, they will make every effort to add the missed time to the end of the session or offer a pro-rata refund.

4. Technology and Access

Maths by James is not responsible for issues arising from the student’s technology (e.g., internet connection, hardware failure, or software compatibility). It is the responsibility of the parent/student to ensure they have a stable connection and the correct hardware (Tablet/Stylus or Laptop/Mouse) in advance.

5. Statutory Rights & Program Enrolment

In accordance with the Consumer Contracts Regulations:

Cooling-Off Period: You have the right to cancel within 14 days of booking.

Early Commencement: By booking a course set to begin within that 14-day window, you are providing an express request for the service to start early.

Pro-Rata Deductions: If you cancel within the 14-day window after a program has already started, you will be refunded the remaining balance minus the value of the days already performed and a £25 administrative fee.

6. Conduct and Safeguarding

Maths by James is led by a Qualified Tutor Member and is Enhanced DBS checked. Students and parents are expected to engage respectfully. Disruptive, disrespectful, or inappropriate behavior will result in immediate termination of the session or expulsion from the program without a refund.

7. Intellectual Property & Recording

Recording: Online sessions may be recorded for quality assurance, safeguarding, and training purposes.

Marketing: By agreeing to these terms, you grant Maths by James a license to use anonymized portions of recordings or student work for promotional purposes.

Link Security: Access links (e.g., Pencil Spaces) are for the exclusive use of the registered student. Sharing links with unauthorized parties will result in immediate removal from the course without a refund.

8. No Guarantee of Results

While we are committed to providing high-quality support, we cannot guarantee specific academic outcomes or exam results. Success depends on various factors, including the student's individual effort and dedication.
